Privacy Notice

Attendance ATEASE records attendance for the company you work for. To do that it takes a photograph of your face, notes where you are when you punch, and keeps the records your office adds about you. This page says exactly what that means, who can see it, and what you can ask for.
What is collected, and why
Every time you punch
| A selfie | Stored with the punch and visible to your office. Where your employer has switched face matching on, it is compared with your profile photograph and a similarity score is kept beside it. A poor score never refuses your punch — it is a flag for a person to look at. |

| Your position | Latitude, longitude and how accurate the reading was, and whether it fell inside one of your employer's registered sites. A punch made away from every site is recorded and marked, never refused. |
| The time | Stamped by our server, not by your phone, so the record cannot be moved by changing a handset's clock. |
| A fingerprint check | Your fingerprint never leaves your phone. Android checks it against what is already stored on the handset and tells the app only yes or no. We never receive it, it is never uploaded, and we could not read it if we wanted to. |
| A site code scan | Whether the QR code at the site was scanned, where your employer uses them. |
| Which handset | An identifier for the phone registered to you, its model, and a notification token so reminders can reach it. This is what stops somebody else punching as you. |
While you are out on official work
If you record a visit, it keeps the time, the place you name, the address your phone resolves, your notes, the position, and any photographs you take. Tasks your office sends you keep the same kind of evidence when you close them, including a voice note if you record one.
What your office holds about you
The employee record: your name, employee code, phone number, email, date of birth, date of joining, branch, department, designation and shift. Your employer may also record bank, PF and ESI details, salary, addresses, an emergency contact, and family and education details. Which of these they fill in is their choice, not ours.
Documents you or your office upload — identity papers, licences, visas, insurance — with their expiry dates, so you are both reminded before one lapses. Where your employer allows it, these may include a family member's documents that you add yourself.
Records of changes
Every change made in the system is logged: who made it, what it was before, what it became, and the network address it came from. This exists so that an attendance record cannot be altered quietly. Your employer chooses how long this log is kept — two years unless they change it.
Who can see it
- You — your own attendance, your own visits and your own documents, in the app.
- Your employer's administrators — the people they have given a login. What each of them may see is set by your employer.
- Other systems your employer connects — payroll or HR software, through a key your employer issues and can revoke. Those keys can only read, never change anything.
- Us — only to keep the service running, fix a fault, or when the law requires it. Not routinely, and not for any purpose of our own.
Your company's records are kept in a database of their own, separate from every other company using Attendance ATEASE.
Where it is kept, and for how long
On servers operated for Attendance ATEASE. Photographs and documents are held in private storage and are not reachable by a public link.
Records are kept while your employer's subscription is active. If it lapses, they can still read what is there for three further months, after which access stops. Your employer may ask us to delete their data at any point, and may delete individual records themselves.
What you can ask for
- To see what is held about you. Much of it is already in the app. For the rest, ask your office.
- To have something corrected. A punch recorded at the wrong time can be reported from the app; anything else, ask your office.
- To have it deleted. Ask your employer, who decides — they are required to keep attendance and payroll records for their own legal reasons, and those obligations are theirs, not ours.
- To withdraw your agreement. You can, and should tell your employer. Be aware that attendance cannot be recorded by this app without a selfie and a position, so withdrawing means the app cannot be used — your employer will have to record your attendance another way.
Deleting the app and your account
Uninstalling the app removes it from your phone and unregisters nothing by itself — ask your office to release your device so the registration is cleared.
To have your records removed, ask your employer. If you cannot reach them, write to atease.ceo@gmail.com and we will put the request to them and tell you what they decide.
Children
This is a workplace product. It is not for anyone under 18, and we do not knowingly hold records of children except where an employee uploads a family member's document themselves.
If this notice changes
The version at the top of this page changes with it. When that happens the app asks you to read and accept the new notice before you punch again, and records which version you accepted and when. Your earlier acceptances are kept, so it is always possible to say what you had agreed to at any point in the past.
